Subscription & Billing Guide
This guide covers your Stackd subscription plan, payment methods, invoices, and how to manage or cancel your account.
Subscription plans
Plans are shown at sign-up and on the Billing page in your admin panel. Each plan differs by the number of transaction types, customer limit, and feature access.
Billing cycles
| Cycle | Description |
|---|---|
| Monthly | Billed each month on your renewal date |
| Annual | Billed once per year — equivalent to 10 months' price (2 months free) |
You can view your current cycle and renewal date on the Billing page under Current Plan.
Plan changes
- PayFast tenants — upgrade or downgrade your plan at any time from the Billing page. The new amount is charged at your next renewal date.
- EFT tenants — plan changes must be arranged with support. The Billing page will show a read-only view of your current plan.
Payment methods
PayFast (card / instant EFT)
Your card or instant EFT mandate is stored by PayFast. Stackd does not store card details. Renewal payments are automatic.
If a payment fails:
- Your account moves to Past Due status.
- You receive a reminder email on day 1, day 3, and day 7 of the grace period.
- If payment is not received within 7 days, the account is suspended.
A suspended account cannot process new transactions but all historical data is preserved. Reactivating with a successful payment restores full access.
Manual EFT
EFT tenants pay via bank transfer. Seven days before each renewal date you will receive a proforma invoice by email with:
- Amount due (including any underpayment carried from the previous period)
- Your unique EFT reference number
- Banking details
Make the payment before the renewal date quoting the reference number exactly. Stackd support will confirm receipt and mark your account as paid.
Overpayment — any amount above the invoice total is held as a credit balance and automatically deducted from your next invoice.
Underpayment — the shortfall is carried forward and added to your next proforma invoice. Your account continues as normal for the current period, but the outstanding amount must be settled at the next renewal.
Invoices
All paid invoices are listed on the Billing page under Invoice History. You can download each invoice as a PDF.
| Invoice type | When issued |
|---|---|
| Tax invoice (INV-) | After a successful payment is confirmed |
| Proforma (PRO-) | 7 days before renewal (EFT tenants only) |
| Credit note (CN-) | Issued if a billing error is corrected |
Invoice numbers are global sequential platform-wide numbers (e.g. INV-000123). It is normal to receive non-sequential invoice numbers — this does not indicate missing invoices.
Each invoice PDF includes:
- Stackd company and VAT details
- Your business name, email address, and (if supplied) VAT number
- Itemised subscription amount
- 15% VAT calculation
- Payment status
Referral programme
Every Stackd account has a unique referral link on the Billing page under Refer a Business.
| Action | Reward |
|---|---|
| Share your referral link | Friend signs up with 30-day trial instead of 14-day |
| Friend completes first paid month | You receive 1 month free credit |
Credits accumulate and are applied automatically to your next invoice. They never expire. One referral credit per referred business — you cannot earn a second credit for the same business.
Cancelling your subscription
- Go to Billing → Current Plan → Cancel Subscription.
- Confirm in the inline prompt.
Your account remains active until the end of the current billing period. No further payments will be charged. Historical data, customer records, and transactions are preserved.
Cancellation is final — there is no pause option. If you change your mind before the period ends, contact support to reinstate your subscription.
Trial period
New accounts start on a free trial:
- Standard: 14 days
- Via referral link: 30 days
No payment is required during the trial. All features are available. At the end of the trial you will be prompted to choose a plan and complete payment setup. If payment is not set up within 3 days of trial expiry, the account is suspended.
